Case Study
Modernizing Appointment & Billing System for a Multi-Specialty Hospital
1.Client Background
A well-established multi-specialty hospital with over 120 doctors and 500+ daily patient visits was facing operational bottlenecks due to outdated systems. Manual appointment booking, disjointed billing, and a lack of centralized patient history caused delays and reduced patient satisfaction.
2. The Challenge
The hospital operated across multiple departments—orthopedics, cardiology, dermatology, and more—but had no unified digital infrastructure. Patients queued for hours just to book appointments or settle bills. Doctors had no quick access to previous prescriptions or lab reports, and billing reconciliation took days. They needed a system that connected front desk, doctors, labs, pharmacy, and billing in real-time.
3. Our Approach
Warke Technologies initiated a comprehensive study of the hospital’s workflow — from the patient’s first call to discharge. We interviewed nurses, doctors, admin staff, and even patients to design a seamless and efficient solution. We focused on making the system scalable and compliant with healthcare data regulations.
To minimize disruption, we designed the rollout in two phases: Outpatient Department (OPD) digitization first, followed by the Inpatient (IPD), diagnostics, and pharmacy modules.
4. Solution Delivered
We developed a full-stack Hospital Information Management System (HIMS) integrated across departments:
- Online & Walk-in Appointment Booking: Patients could book online or at a kiosk. Doctors could block slots or set priorities.
- EMR Access for Doctors: Digital records with past visits, prescriptions, lab reports, and imaging.
- Queue & Token Management: Live digital display and SMS alerts reduced physical crowding.
- Lab & Diagnostic Module: Auto-sync of doctor’s tests requests with lab staff and result uploads.
- Billing & Insurance Claims: Integrated billing system for OPD, IPD, diagnostics, and pharmacy. TPA/insurance support included.
- Admin Dashboard: Daily patient count, billing summaries, doctor workload, and revenue insights.
A separate Non-Disclosure Agreement (NDA) can be signed upon request.
5. Technologies Used
- Frontend: Angular
- Backend: Laravel (PHP)
- Database: MySQL
- Kiosk App: Electron
- Hosting: AWS EC2 + S3
- Integration: HL7-compliant APIs for future expansion
- Messaging: SMS Gateway + Email automation
6. Results & Impact
- 60% reduction in average patient wait time at reception.
- 90% accuracy in insurance claims processing and faster reimbursements.
- Real-time access to health records, improving diagnosis and prescription turnaround.
- Revenue visibility improved with automated end-of-day billing reports.
