1.Client Background

A leading law firm with offices across five Indian cities was managing thousands of legal documents manually. Each office had its own storage methods—ranging from hard drives to email folders. There was no centralized repository, and version control was chaotic. Sensitive client data was at constant risk.

2. The Challenge

The law firm’s biggest concern was security and accessibility. With hundreds of active cases, lawyers often needed to access contracts, affidavits, case files, and court orders remotely—especially during hearings or client meetings. Paper files were prone to misplacement, and scanned documents were stored inconsistently. Moreover, with the rise in ransomware and data breaches, a secure, audit-compliant document management system was non-negotiable.

3. Our Approach

Warke Technologies conducted security and workflow audits at each branch to identify overlaps, gaps, and vulnerabilities. The legal team was involved in UI feedback sessions, as ease of use was critical. We ensured the solution complied with Indian legal data retention norms and implemented tiered access control for partners, associates, interns, and admins.

We built a Secure Document Management System (DMS) tailored for legal workflows:

  • Centralized Repository: All case files, templates, and scanned documents stored on a cloud-backed encrypted system.
  • Role-Based Access: Tiered permissions based on seniority and case involvement; sensitive documents were restricted to partners.
  • Full-Text Search & Filters: OCR on scanned PDFs enabled document search by case number, client name, or keywords.
  • Version Control & Audit Trail: Every edit or upload created a new version with metadata logs and rollback options.
  • Client Sharing Module: Read-only access links with expiry settings for clients or external counsel.
  • Offline Access & Sync: Local cache with periodic sync for lawyers in courtrooms with poor internet.
